Eco Cloud Consultants Limited handles information collected through this website and applicant workspace. Contact the company using the email and office details below for privacy requests, questions or suspected incidents. This notice covers website enquiries, newsletter subscriptions, applicant accounts and EPC registrations.
We collect account name, email address, password hash, email verification status, policy acceptance date and account security information. Google sign-in, when enabled, supplies a verified email, name and Google account identifier; Eco Cloud does not receive your Google password. EPC applications may include company registrations, representatives, qualifications, project history, financial references, compliance declarations and supporting PDFs. We also record application status, submission dates, enquiry details, consent preferences and relevant campaign labels.
Information is used to authenticate accounts, respond to enquiries, assess registrations, verify documents, communicate decisions and protect the service. Depending on the activity, processing is necessary for requested pre-contractual steps, contractual obligations, legal requirements, legitimate interests in secure and accountable operations, or consent for optional newsletters and analytics. Newsletter and analytics consent are separate from applicant registration and may be withdrawn.
Authorised Eco Cloud personnel access information according to their duties. Providers of hosting, email delivery and authentication may process information to operate the service. Relevant verification bodies, referees or professional advisers may be contacted where necessary and appropriate. We do not publish EPC application documents or make them available to other applicants. Disclosure may also be required by law or a competent authority.
Information is retained for the application or enquiry purpose and applicable contractual, legal and audit requirements, then deleted or anonymised when no longer needed. Expired verification and reset links cannot be used. Do not submit unnecessary identity documents, sensitive personal information or complete bank credentials. Contact Eco Cloud to request deletion or clarification of the retention period applicable to your record; retention may continue where a lawful obligation or dispute requires it.
Google and other service providers may process data outside Kenya. Provider location, contractual protections and appropriate transfer safeguards must be assessed before production use. The website does not request access to your Google Drive, contacts or other Google services for applicant sign-in.
Subject to applicable law, you may request information about processing, access and correction, object to processing, request deletion, and withdraw consent for consent-based activities. Eco Cloud may ask for proportionate identity evidence to protect your records. You may raise a complaint with the Office of the Data Protection Commissioner in Kenya. Withdrawing optional marketing consent does not prevent you from applying.
Essential session cookies maintain sign-in and form security. Optional Google Analytics loads only after analytics consent when enabled. Analytics must not receive passwords, application documents or form contact details. Google Maps embeds and outbound links operate separately from analytics consent and may transmit your IP address to their provider. See the cookie notice for controls.
Passwords are hashed, application uploads are held outside the public file directory, and account and administration access are separated. These measures reduce risk but cannot eliminate it. Report suspicious account activity promptly. Eco Cloud will assess incidents and provide notifications where required by applicable law.
